Sindria Phone Systems provides business phone service. This explains what information the service and the Sindria app handle, why, and who else touches it.
Who this is about. Our customers are businesses. When you use Sindria at work, your business is our customer and decides how the service is set up. When someone calls a business that uses Sindria, we handle that call on the business's behalf.
What we handle
- Account details: your name, work email, job title, extension and, if your business adds it, a mobile number. Passwords are stored only as a one-way hash.
- Calls: for each call, the numbers involved, the times, how long it lasted and how it was routed. This is the call history your business sees.
- Recordings and voicemail: a call is recorded only if your business turns recording on. When it does, callers hear a notice first unless the business has switched the notice off. Voicemails are kept so they can be played in the app and console.
- Transcripts: voicemails and recorded calls are turned into text on your business's own phone server. Callers' audio is not sent to any outside company to be transcribed. Greetings your business records are transcribed by ElevenLabs.
- Texts: if your business uses texting, the messages sent and received on its numbers.
- Your phone and app: the device type, iOS version and app version, crash and diagnostic reports, and a push token so incoming calls can ring your iPhone. The app uses your microphone only during calls. It does not collect your location.
- 911: your business's emergency address is sent to our carrier, so a 911 call reaches the right dispatcher.
- Billing: payments are handled by Stripe. Card numbers never reach our servers.
- The console assistant: if your business uses it, the questions you ask and the parts of your phone system's set-up it needs to answer them are sent to Anthropic, which provides the AI.
Who else handles it, only to provide the service:
- Hosting: Render (our main servers and database), Vultr (each business's own phone server), Cloudflare (domain names).
- Calls and texts: Voxtelesys and Twilio.
- Email: Resend.
- Payments: Stripe.
- App updates: Expo.
- Incoming-call notifications: Apple.
- AI: Anthropic (the assistant) and ElevenLabs (greeting transcripts).
We do not sell information, show ads, or track you across other apps or websites.
How long we keep it.
- Voicemails are deleted when they're deleted from the mailbox.
- Call history, recordings, transcripts and texts are kept while your business's account is open.
- When an account closes, its recordings, voicemails, transcripts, texts and contacts are deleted 90 days later, the day its phone number is released. Call history is kept for 18 months after closing, and billing records for 7 years. Anything a court order or legal request requires us to keep is kept until it's released.
Your choices. Your business's administrators control recording, its notice, texting and who has an account. To see, correct or delete information about you, contact your business's administrator, or email us at support@sindriaphonesystems.com.
Children. Sindria is a business service and isn't directed to children under 13.
Changes. We'll post any change here, with a new effective date.
